Unless a more specific storage period has been mentioned within this privacy policy, your personal data will remain with us until the purpose for data processing no longer applies. If you assert a legitimate request for deletion or revoke consent to data processing, your data will be deleted, unless we have other legally permissible reasons for storing your personal data (e.g. retention periods under tax or commercial law); in the latter case, deletion will take place after these reasons cease to apply.

4. Data collection on this website
Cookies
Our internet pages use so-called "cookies". Cookies are small data packets and do no harm to your device. They are stored on your device either temporarily for the duration of a session (session cookies) or permanently (permanent cookies). Session cookies are automatically deleted at the end of your visit. Permanent cookies remain stored on your device until you delete them yourself or your web browser carries out automatic deletion.
Cookies can come from us (first-party cookies) or from third-party companies (so-called third-party cookies). Third-party cookies enable the integration of certain services from third-party companies within websites.
Cookies have various functions. Many cookies are technically necessary, as certain website functions would not work without them. Other cookies can be used to evaluate user behaviour or for advertising purposes.
You can set your browser so that you are informed about the setting of cookies and only allow cookies on a case-by-case basis, exclude the acceptance of cookies for certain cases or in general, and activate the automatic deletion of cookies when closing the browser. If cookies are deactivated, the functionality of this website may be limited.
Server log files
The provider of the pages automatically collects and stores information in so-called server log files, which your browser automatically transmits to us. These are:
- browser type and browser version
- operating system used
- referrer URL
- host name of the accessing computer
- time of the server request
- IP address
This data is not merged with other data sources. The collection of this data is based on Art. 6 (1) (f) GDPR. The website operator has a legitimate interest in the technically error-free presentation and optimisation of its website — for this, the server log files must be collected.
Enquiry by email or telephone
If you contact us by email or telephone, your enquiry, including all resulting personal data (name, enquiry), will be stored and processed by us for the purpose of handling your request. We do not pass on this data without your consent.
The processing of this data is based on Art. 6 (1) (b) GDPR, provided your enquiry is connected with the fulfilment of a contract or is necessary to carry out pre-contractual measures. In all other cases, the processing is based on our legitimate interest in the effective handling of enquiries addressed to us (Art. 6 (1) (f) GDPR) or on your consent (Art. 6 (1) (a) GDPR), if this has been requested.
The data you send to us via contact requests will remain with us until you request its deletion, revoke your consent to storage, or the purpose for data storage no longer applies (e.g. after your request has been processed). Mandatory statutory provisions — in particular statutory retention periods — remain unaffected.
Contact form
If you send us a request via the contact form, the details you enter (e.g. name, email address, company, phone number, message) are stored by us and sent to us by email in order to process your request and for follow-up questions. We do not pass on this data without your consent.
This processing is based on Art. 6(1)(b) GDPR if your request relates to the performance of a contract or is necessary for pre-contractual measures. In all other cases, it is based on our legitimate interest in effectively handling requests sent to us (Art. 6(1)(f) GDPR). The data remains with us until you ask us to delete it or the purpose no longer applies. Statutory retention periods remain unaffected.
Event booking and quote requests
Our event booking lets you put together an event, create a non-binding quote as a PDF, send it to yourself by email or send us a request. We process the configuration (e.g. simulation, number of simulators, event days, selected services) and your contact details (name, company, email address, phone number, venue and date).
We use this data to send you the quote, process your request and check availability. The legal basis is Art. 6(1)(b) GDPR (pre-contractual measures and performance of a contract). If no contract is concluded, we delete the data after 12 months at the latest. If a contract is concluded, the retention periods under commercial and tax law apply.
Newsletter
If you subscribe to our newsletter, we use your email address and, where provided, your name to send you news about Sim-Department. We use the double opt-in procedure: you receive an email in which you confirm your subscription. We store the time of subscription and confirmation as well as your IP address to be able to prove the subscription.
We manage the newsletter with the WordPress plugin MailPoet. Subscriber data is stored on our web server. Emails are sent via the MailPoet Sending Service of Aut O’Mattic A8C Ireland Ltd., Grand Canal Dock, 25 Herbert Pl, Dublin, D02 AY86, Ireland, and Automattic Inc., USA. Your email address and the content of the email are transmitted to the service. We have concluded a data processing agreement with the provider. Transfers to the USA are covered by the EU Standard Contractual Clauses.
We analyse whether a newsletter was opened and which links were clicked in order to improve our content. We do not use cookies for this.
The legal basis is your consent (Art. 6(1)(a) GDPR). You can withdraw it at any time, for example via the unsubscribe link in every newsletter. After you unsubscribe, we delete your address from the mailing list. To prove earlier consent, we may keep it on a blocklist (Art. 6(1)(f) GDPR).
5. Plugins and tools
Social networks
This website includes references to our profiles on social networks (Facebook, LinkedIn, Instagram, X/Twitter, Discord). These are simple links — not embedded plugins. Only when you actively click on one of these links will you be redirected to the respective platform, and the privacy provisions of the respective provider will apply there.
Map service (Esri)
Some pages show a map of our locations. The map tiles are provided by Esri Inc., 380 New York Street, Redlands, CA 92373, USA. The map only loads when you click “Load map”. Only then does your browser connect to Esri’s servers, and Esri receives your IP address and technical information about your browser.
The legal basis is your consent (Art. 6(1)(a) GDPR and Section 25(1) TDDDG). Your consent applies until you close the browser window and is only stored in your browser. Esri is certified under the EU-U.S. Data Privacy Framework. More information: Esri privacy statement.

We load fonts (Inter, JetBrains Mono) and the map library Leaflet from our own server. No data is transferred to third parties such as Google.
